Managed Servers

Servers Kept Healthy, Patched and Watched

Your servers hold the files, applications and data your business runs on. We monitor, patch and maintain each one for a fixed monthly price per server.

What is Managed Servers?

A server is a computer that provides shared services to your business: file shares, business applications, databases, printing or staff sign-in. Whether it sits in a cupboard in your office or runs as a virtual machine, it needs regular care to stay secure and reliable.

Managed Servers is that ongoing care. We monitor each server's health and performance, apply operating system and firmware updates in planned maintenance windows, check backup status as part of routine monitoring and keep administrator access under control.

The price is £100 per server / month. Replacing a server, virtualising or moving to the cloud is project work, covered by Servers & Infrastructure.

Key benefits

  • Health and performance monitored, with alerts reviewed by our team
  • Operating system and firmware updates in planned maintenance windows
  • Backup status checked as part of routine monitoring
  • Administrator access based on least privilege
  • A fixed monthly price for each server

How does it work?

Each managed server runs our monitoring and management agent. We watch its health, schedule its updates, check its backups and plan ahead for capacity and replacement.

  1. Review each server

We review each server's role, operating system, hardware or host, support status, backups and who has administrator access, and agree a maintenance window that suits your business.

  2. Bring under management

We install monitoring, bring updates up to date in a planned way and tighten administrator access where needed.

  3. Monitor and maintain

Alerts for issues such as low disk space, stopped services or failed backups are reviewed by our team in line with your agreed service level, and routine updates are applied in the maintenance window.

  4. Plan ahead

We flag ageing hardware, operating systems approaching the end of support and capacity limits, so replacements can be planned and budgeted.

Technical scope

  • Monitoring of server availability, processor, memory, disk space and key services
  • Monitoring for performance and security events
  • Operating system patching in agreed maintenance windows
  • Firmware updates for supported server hardware
  • Backup job status checked as part of routine monitoring
  • Administrator access reviewed on a least-privilege basis
  • Physical servers and virtual machines; how virtualisation hosts are counted is confirmed at scoping
  • Lifecycle and capacity planning advice

Where it helps

A file server running out of space

Disk space alerts give time to tidy up or add capacity before staff start seeing save errors.

A failed overnight backup

A failed or incomplete backup job is picked up in routine monitoring and investigated, rather than discovered when you need to restore.

An operating system nearing end of support

We raise it well in advance, so replacement or upgrade can be planned and budgeted instead of rushed.

A server that keeps slowing down

Performance history helps show whether the cause is a service, a disk or simply a server that has outgrown its workload.

Problems solved

Updates applied when someone remembers

Server patching is easy to put off because restarts are disruptive. Agreed maintenance windows make it routine.

Backups failing silently

Backup jobs can fail for weeks without anyone noticing. Checking their status as part of monitoring brings failures to light.

Disks filling up unnoticed

A full disk can stop applications and file shares without warning. Monitoring flags it early.

Too many people with admin access

Shared or unnecessary administrator accounts widen the impact of a compromise. Least-privilege access reduces it.

Surprise hardware failures

Ageing servers often show warning signs first. Monitoring and lifecycle planning help you act before a failure.

What's included

Included as standard

  • Monitoring and alerting for each managed server
  • Alerts reviewed by our team in line with your agreed service level
  • Operating system and firmware updates in planned maintenance windows
  • Backup status checked as part of routine monitoring
  • Access controls based on least privilege
  • Lifecycle and capacity planning advice

Optional or scoped

Available on request and confirmed in your proposal; not part of the standard service.

  • Backup & Disaster Recovery: design and management of backups and a recovery plan
  • Server replacement, virtualisation or cloud migration projects
  • Endpoint protection for servers, by agreement
  • Onsite visits for hardware work

What's not included

  • Server hardware, replacement parts and manufacturer warranties
  • Operating system, application and database licences
  • Backup software and storage, unless provided through Backup & Disaster Recovery
  • Support for third-party business applications beyond the server they run on, unless agreed
  • Projects such as server replacement, virtualisation or migration, which are scoped separately

Servers running operating systems that no longer receive security updates can't be kept patched, so they stay at higher risk until replaced. We'll recommend a replacement plan.

Checking backup status shows whether jobs succeed; it isn't the same as proving you can recover. A Backup Security & Recovery Assessment can test or review recovery.

Who it's suitable for

  • Businesses with one or more servers in the office
  • Organisations running file, application or database servers
  • Businesses with virtual servers running on a host on site
  • In-house IT teams who want server maintenance handled for them
  • Businesses planning when to replace or retire older servers

Frequently asked questions

How are virtual servers priced?

Pricing is per server per month, and each physical server or virtual machine we manage counts as a server. How virtualisation hosts are treated is confirmed during scoping.

When are server updates installed?

In a maintenance window agreed with you, so restarts don't interrupt your team. Urgent security updates can be scheduled sooner, by agreement.

Does Managed Servers include backup?

It includes checking backup status as part of routine monitoring. Designing and running the backups themselves, including storage and a recovery plan, is part of Backup & Disaster Recovery.

What happens when a server needs replacing?

We flag it early, explain the options and, if you go ahead, quote the replacement as a project through Servers & Infrastructure. Hardware and licences are priced separately.

Can you manage servers hosted in the cloud?

Usually, provided we can install our monitoring agent and have administrator access. We confirm what's possible for each server during scoping.
